Leave Policy

Maternity Leave

Pregnant employees are entitled to 12 weeks of paid vacation. 2 weeks can be taken before the birth of the child. The employee receives 100% of her salary during this period and social security is responsible for this salary.

You can use the leave module in IceHrm to manage maternity leave in Rwanda.

Paternity Leave

There is currently no statutory paternity leave.

Parental Leave

There is no parental leave law in Rwanda. However, employees may be entitled to maternity and paternity leave.

Sick Leave

Employees are entitled to up to 6.5 months of paid sick leave. Depending on the duration, this vacation is paid at different rates and by different payers:

Pay & Tax

Minimum Wage Requirements

The minimum wage is RWF 8,600 per month. The minimum wage has not been updated since 1974.

Individual Income Tax

Personal income tax ranges from 0% to 30%. Income tax is calculated at progressive rates. Several additional factors can affect overall rates, such as: the household status and the number of children.

Payroll Cost

The estimated monthly employer cost is 5.30% of the employee’s salary.

  • Social security contribution – 5%
  • RSSB maternity leave allowance – 0.3%

Overtime Pay & Maximum Hours

The standard working hours are 9 hours per day and 45 hours per week. Standard working hours are Monday to Friday.

Pay for overtime is not mandatory.

Termination

Termination Requirements

Dismissals must take into account complex rules and the regulations of the country in which an employee is employed. Off-boarding is always carried out by the employer with the main participants. It may include ad hoc fees as well as required or recommended steps for specific termination cases.

Layoffs in Rwanda can be complex. Employers cannot terminate at their own discretion in Rwanda and the termination must be for a valid reason.

Compliant terminations are:

  • Voluntary by the employee
  • By mutual agreement
  • Unilateral termination by the employer due to:
    1. Probation period
    2. Objective reasons
    3. Dismissal for disciplinary reasons
    4. Performance due to unsuitability for the position When the contract expires

Notice Period

The minimum notice period is 15 days and increases depending on the length of employment.

  • 15 days’ notice if employment is less than 1 year.
  • 30 days’ notice if you have been with the company for more than 1 year.

Severance for Employees

In Rwanda, all employees who are dismissed are entitled to severance pay unless they are dismissed for disciplinary reasons or have been employed for less than a year. The severance payment is 1 month’s salary for every 5 years of service up to 6 months of the basic salary.

Statutory Time Off

Paid Time Off

Both full-time and part-time employees are entitled to 18 calendar days of paid time off (PTO) per year. PTO increases monthly by 1.5 days per month.

Onboarding takes 2 business days after the customer signs the SOW.

Employment Contract Details

Contracts can be concluded in English. They must be in writing and signed by both parties.

A contract must contain:

  • Surname
  • Start date
  • Length of employment
  • Job descrption
  • Conditions for termination of employment
  • Name of employer
  • Name of the employee
  • Agreed working hours
  • Probation period
  • Notice period
  • Paid leave

Probation Period

Probation periods are mandatory. The minimum probation period is 90 days and the maximum probation period is 180 days.
