What is Paid Time Off (PTO)?

Paid time off, commonly abbreviated as PTO, is the time during which employees are given time off from work with regular pay. This does not include times when the employee telecommutes or works remotely. Typically, PTO policies combine personal, sick, and vacation days.

Companies design their paid time off from work policies depending on various factors, such as:  the industry and the size of the company. However, sound policies will help protect your bottom line by attracting and retaining top talent. Most employees also use PTO to boost morale and increase productivity while combating burnout.

Compared to the US, where employees receive an average of 15 days of PTO per year, other European countries are much more generous. In France, employees must receive at least 30 paid days off per year, the same as in Spain. The UK comes very close at 28 days, while Denmark, Austria, Norway, Sweden and Finland all have 25 days.

What is the difference between paid time off and vacation days?

Paid time off is the time when employees are paid while they are not working and is therefore more comprehensive compared to vacation. While all vacation is technically PTO, not all paid time off is vacation.

With vacation time, an employee is given a certain number of days off each year solely for vacation. These days can be rolled over to the next year if not used. However, some companies also pay their employees for unused vacation days.

PTO includes all days that an employee needs or wants to take off. Days such as parental leave, holidays and sick days may be included - depending on the company's paid time off policy.

How to Calculate Paid Time Off

You can calculate paid time off for each employee using the following methods:

Fixed annual PTO days

This method assigns each employee a PTO account at the start of a specific period. You can e.g. Provide 26 paid days off per year. Employees can use them for personal absences, sick days and vacation.

PTO accumulation method

Under the PTO accrual method, an employee receives paid time off depending on the hours or days worked. For example, an employee can receive 160 hours of PTO for every 2,000 hours worked during the year. So, the accrual rate would be 0.08 PTO hours for each hour worked.

Unlimited PTO

Although it's a relatively new concept, unlimited PTO offers more flexibility for employees. It is based on performance and not attendance. An employee earns the right to take vacation when they meet their goals and expectations.

What HR should consider about paid time off policies

Here are some things to keep in mind if you want to maximize the effectiveness of your paid time off policy:

  • Determine how many paid days off each employee can take per year. Also consider which holidays employees can take off without using their personal PTO.
  • Process paid time off requests via an application form. This allows employees to formally request their planned absence from work. This helps with record keeping and allows HR to track time off usage.
  • Time limits on using PTO days. Do you set an expiration date or do the days roll over to the next year? Make sure you comply with local laws and regulations and include this information in your paid time off policy to provide clarity to employees.
