Transitioning from one job (or unemployment) to another is always a bit of a challenge. After the initial excitement of getting the job, your new employee is looking forward to their first day and maybe a little nervous. You want to make him feel welcome and prepare him as much as possible to set him up for success. A well-written welcome email to new employees confirms that they have accepted the position and are now part of the team.

A welcome email also initiates the on boarding process, which should ideally begin before the first official day of work. Here's how to write a welcome email to get you on the right track with your new employee.

Welcome email to new employees: what should it contain?

The next communication you have with your new employee after they have officially accepted the position (and passed any required background checks) should be the welcome email. The new employee's direct manager should send this message, although additional information can be sent directly from Human Resources.

The more paperwork or other administrative tasks that can be completed before officially starting work, the better (there are many online services for filling out work permits, tax documents, selecting health insurance benefits, etc.). Even if they don't have to do any heavy work on the first day, their time would be better spent getting to know their new colleagues than filling out forms.

Below are some points to include in your welcome email to new employees:

  • Reminder of the date and time to start work
  • work schedule
  • Office address and special check-in instructions
  • Parking and commuter information
  • First day schedule, including welcome events (e.g. lunch)
  • Items to bring (e.g. social security card, ID card)
  • Contact information

Don't forget to inform other employees in the company, especially your new employee's colleagues. A message that reminds current employees of the new employee and when they will start work, as well as a short resume, will go a long way toward integrating them into your company.

Sample welcome email to new employees

Don't be too formal, but keep your tone professional. The welcome email should reflect your company's personality and culture while keeping it simple and clear. The following sample should give you some ideas:

Hello / good morning [name of new employee],

We look forward to welcoming you to our team! We believe you will be a great asset to [Company Name] and want to ensure you settle in as well as possible.

As discussed, your first day is on [date]. Please arrive by [time] and wear what you are comfortable with as we are business casual [or whatever your dress code is.

When you arrive, please report to [name of receptionist or first contact person] to receive your security badge. I will then meet you in [the lobby, etc.] and show you to your workplace. I will show you where everything is and introduce you to your new colleagues.

On the first day we will take it easy, get you set up and then have lunch together. Please let me know if you have specific dietary habits. Afterwards you will have the opportunity to meet with [managers, HR directors, etc.].

Please take some time to log in to [administrative website(s)] before your first day of work. [Name of HR Manager] will help you complete this process upon your arrival.
